Sharing data

Publishing a table for other teams to read at an address that never changes, and offering data to — or getting it from — other organisations through the marketplace.

There are two ways to share. A data product shares a table between the domains of your own organisation. The marketplace shares data between organisations. Neither copies data: access is granted, and the reader reads the table where it is.

Data products

A data product is a table one domain publishes for the others to read. The Shared data page lists every product with its address, the domain that publishes it, its status, and where your own domains stand with it.

The address

Every product is read at <domain>_shared.<namespace>.<table> — for example sales_shared.reporting.orders. The address holds no environment, on purpose: the same reference works from dev, from production and from a sandbox, so a pipeline promoted from one environment to the next needs no edit. It also survives the producing team reorganising its own tables.

Publishing a product

Owners and editors of a domain, and organisation admins, can publish. Choose Publish a product and give it:

  • the domain, namespace and table name — together they form the address;
  • a description — a team deciding whether to depend on it reads this first;
  • the source pipeline that fills it. Publishing grants access; the pipeline is what keeps the table up to date.

A product starts as a draft. Other domains cannot ask for it until it is published, so declaring one early costs nothing.

Getting access

To read a product, open it and choose Ask for this product, saying why. Owners and editors of a domain, and organisation admins, can ask on a domain's behalf.

The publishing domain's owners see the request under Subscribers and Approve or Reject it, with a note. Approving grants your domain read access to the product — nothing is copied. An owner can later Revoke access. Each subscription shows its state: pending, approved, rejected or revoked, and whether the grant has been applied.

Deprecating and withdrawing

  • Deprecated — domains already subscribed keep reading it; no new requests are accepted. Use it to move readers to a replacement.
  • Withdrawn — every subscription is revoked and every grant on it removed. Publishing it again does not restore them; each domain asks again.

The marketplace

The marketplace is where organisations offer data to each other. It has four views: the Marketplace itself, My listings, My purchases and the Approval inbox.

Offering data

Organisation admins publish a listing in three steps: what the product is (a buyer reads this before asking), which tables it includes, and who gets access and when. A granted buyer can read exactly what the listing's access role grants, so keep the tables listed and the role in step.

A listing can require the seller's approval. Its requests arrive in the Approval inbox, where an admin approves or rejects each one. An approved purchase can be revoked later.

Getting data

Open a listing and choose Request this product. Organisation admins make the request; where the listing requires approval, the seller's admins decide. Once your organisation holds the product, owners, admins and members can read the data it unlocked. My purchases shows each request and where it stands.
